The spreadsheet
One master member file, on one laptop, always slightly out of date.
Less admin, more club. ClubCentered is the membership platform built for South African running clubs — members join, renew and pay online, ASA licence included, while your committee watches the admin do itself.

Nobody joined the committee to do data capture. But that's where the hours go.
One master member file, on one laptop, always slightly out of date.
Bank statements matched by eye. Proof-of-payment screenshots on WhatsApp.
The same details handwritten onto the ASA form, for every member, every year.
Weeks of reminders, one member at a time — volunteer evenings, gone.
None of this is anyone's fault. It's just what doing club admin by hand costs — and for a volunteer committee, time isn't money. It's the fun you joined the club for.
For members
On a phone, in one sitting. The SA ID number fills in the date of birth; renewals carry last year's details forward, so renewing takes under a minute.
Straight into the club's own account. No proof-of-payment messages, no reference-number guesswork.
If the package includes a provincial licence, the registration form is pre-filled from what they already typed. Nobody writes their ID number out by hand again.
Confirmation and the club's info pack land in their inbox. And then they make hot chocolate.
For the committee
Every payment arrives matched to a member and a reference. The treasurer stops playing detective.
Or none: the club can auto-approve renewals the moment payment clears.
Filter it, export it to Excel, and the "master spreadsheet" is whatever the live data says today.
Renewal season runs on the club's own schedule, not the secretary's evenings.
Every rule in those journeys — prices, member types, cut-off dates, who approves what — is your club's own configuration. The system enforces your rules, and lets the committee override them, on the record, when life happens.
Members apply on their phones — SA ID validated, date of birth derived, documents uploaded.
PayFast or Yoco, into the club's own account. Manual EFT still supported for the die-hards.
Last year's details carry forward. Members review, pay, done — under a minute.
Provincial licence fees priced by age band, the official registration form pre-filled and print-ready.
One login for the household — parents manage and pay for dependants in the same place.
Renewal reminders on the club's schedule, repeating until the member renews.
Choose which member types approve themselves the moment payment clears.
The member register, non-renewals and birthdays — on screen, exported, always current.
Your logo and colours across the portal and every email members receive.
New members automatically receive your welcome pack — you choose when.
A Social Responsibility donation option at checkout, with automatic thank-you emails.
Packages, prices, member types, cut-off dates, postal areas — the committee controls all of it.
Every year, every licensed member fills in the same federation form by hand — name, ID number, address, next of kin — details the club already has. ClubCentered captures the ASA / provincial licence registration once, online, as part of joining: the form is pre-filled from the member's application, the fee is priced by your province's age bands, and the club gets a print-ready, correctly formatted registration for every member. Licence numbers are recorded when the province issues them, and members are notified automatically.
A membership platform holds ID numbers, medical details and children's information. We built for that from day one — not as an afterthought.
Every club is fully isolated — enforced in the database itself, not just the app.
ID numbers encrypted and masked on screen; every deliberate reveal is recorded.
Every admin action — edits, exports, overrides — is logged: who, what, when.
Payments go straight to the club's own gateway and bank account. ClubCentered never holds club funds.
POPIA-aligned by design: consent captured with its exact wording, data hosted securely, and the member data always remains the club's own.
ClubCentered costs a small monthly base plus a per-member amount — and the per-member part is only charged when a member actually joins or renews. Members who lapse are never billed. Most clubs offset the entire cost by retiring the website-with-payments plan they currently pay for, or by adding a small platform fee at checkout — your committee chooses where the cost sits.
ClubCentered wasn't designed in a boardroom. It was built alongside a Pretoria running club's actual committee — their member register, their fee structure, their licence paperwork, their renewal season. Every feature exists because a real secretary, treasurer or chairman needed it. The club tests every release before it ships, and their feedback sets the roadmap.
ClubCentered is a product of Lighthub, a South African software company — which means local support, in your timezone, from the people who actually built it.
No. Your website stays exactly as it is — its Join and Renew buttons simply link to your club's ClubCentered portal, on your own club address.
A demo takes 30 minutes: your packages, your fees, your renewal season — live, not slides. If it makes sense for your committee, a guided trial follows. No commitment until your club says so.
